KANSAS CITY, Kan.  — Visit Kansas City Kansas is seeking a Visitor & Meetings Services Manager. This position plays a crucial role in ensuring the seamless execution of meetings, events, sports services to provide a warm and welcoming experience in Kansas City, Kansas. The position leads visitor information booth initiatives including a Mobile Visitors Center during the summer of 2026. The Services Manager collaborates with meetings and events stakeholders including clients, local businesses, vendors and event planners, to ensure successful event execution and a positive experience for all visitors. The ideal candidate should be customer-focused, detail-oriented and have experience in the client service or hospitality industry. Some nights and weekends are required, as well as some overnight travel.

Responsibilities

Visitor Services & Mobile Visitors Center

  • Assist in conceptualization, design, and build out of a Mobile Visitors Center, ensuring alignment with both aesthetic and functional needs.
  • Oversee the Visitor Information Booth Representative program (VIBR) including recruitment, training and scheduling of staff to ensure an engaging visitor booth experience at the Mobile Visitors Center and on-site events.
  • Manage visitor information and merchandise offerings at Visitor Center and information booths, ensuring high-quality customer service.
  • Provide excellent service to visitors, answering questions, offering assistance and ensuring a memorable and informative experience at the center.
  • Oversee the ongoing operation and scheduling of the Mobile Visitors Center and visitor booth opportunities.
  • Develop and implement strategies to enhance visitor engagement and satisfaction.
  • Coordinate visitor information services such as distributing maps, guides, hospitality programs, and offering special promotions in collaboration with local businesses and attractions.
  • Provide logistical and staff support for ongoing events and projects organized by Visit KCK, including fam tours, media visits, partner events and giveaways.
  • Lead, train, and mentor the VIBR team to ensure exceptional customer service and up-to-date destination knowledge.
  • Schedule and manage staffing for vendor booths and information tables throughout the year.

Meetings, Conventions, and Sports Services

  • Serve as a primary point of contact for meeting and convention planners, sports rights holders and event organizers in partnership with the Director of Sales.
  • Coordinate the logistics, planning and execution of conventions, conferences, business meetings and sports-related events.
  • Manage relationships with local venues, hotels and vendors to ensure smooth event coordination and successful outcomes.
  • Collaborate with local sports organizations and facilities to support sports-related events, including tournaments and events.
  • Oversee logistics such as transportation, accommodations and special event services for sports teams and participants.
  • Cultivate and maintain strong relationships with clients, event planners, sports organizations and stakeholders.
  • Respond to inquiries and resolve concerns in a timely, professional manner.
  • Conduct post-event evaluations to gather feedback and apply insights to future events.
  • Maintain up-to-date records of sales and service inquiries, contacts and event information in the Simpleview CRM system.
  • Report to the Director of Sales on event progress, client interactions and key performance metrics.

Skills 

  • Strong experience in event coordination, client service and hospitality.
  • Excellent interpersonal and communication skills with a focus on professionalism, responsiveness and follow-up.
  • Highly organized with the ability to manage multiple projects, prioritize tasks and meet deadlines.
  • Effective public speaking, presentation and written communication skills.
  • Ability to engage and interact with diverse audiences, including clients, event planners, and the general public.
  • Proficient in Microsoft Office Suite, CRM systems (Simpleview preferred) and event management software.
  • General knowledge of Kansas City, KS, and the surrounding metro area.

Requirements

  • At least 2 years of experience in client service, hospitality, event management or a related field.
  • College degree in a relevant field, or equivalent experience.
  • Valid driver’s license.
  • Ability to lift and transport boxes up to 50 pounds and assist with trade show or booth setups.
  • Ability to work flexible hours, including evenings and weekends when necessary.
  • Willingness to travel occasionally for trade shows and other events.

Job Type: Full-time

Pay: $48,000.00 - $57,000.00 per year
